Land records imaging
A runsheet is only as useful as the copies behind it. We image the instruments, index them, and name the files so each one can be found from the runsheet row that points to it.
Images you can search
We use modern tools so the images are not only pictures of pages. Text recognition makes the PDFs searchable, and the index ties each image to its runsheet row. A person checks each batch for cut off pages and missing instruments. When a project needs imaging in several counties, our network of contract landmen can cover them together.
What it covers
- Courthouse imaging. Copies of recorded instruments from county records, whether the county has images online or not.
- Scanning. Paper files, bound volumes and film that a client wants in digital form.
- Indexing and OCR. A searchable index, and text recognition so the PDFs can be searched.
- Naming and folders. File names and folder structure set to your standard, or ours if you do not have one.
- Retrieval and filing. Pulling a specific instrument when you have the book and page or instrument number, and filing documents with the county when needed.
Delivery
Most clients want one of three things: a tabbed PDF for a tract, an indexed spreadsheet with a folder of images, or both. The delivery formats guide explains each and what to ask for.
What to send
- The instruments or the county and legal description
- How you want files named and foldered
- Whether you need OCR, tabs or a spreadsheet index
- Any files that already exist, so we do not duplicate them
What you get
- Images in the format you specify
- An index tying each image to its book, page or instrument number
- A batch list so you can check that everything arrived
What we do not do
- Copies from a county are unofficial unless the county certifies them. If you need certified copies, we request them from the recorder, and the county's fees apply.

Send a scope for imaging
Send the counties and the instruments, or the legal descriptions, and how you want the files named. We reply with a scope and a quote, and we can image in several counties at the same time. Write to [email protected].
